Student Files
When a student is admitted to the School of Architecture, her or his file is entered into the system managed by Sharon McDonald. The purpose of the file is to maintain an accurate record of a student’s history in the School of Architecture. Reports of achievements (such as Dean’s List or other awards) are included as well as petitions for grade changes, faculty-student correspondence about courses, and any disciplinary actions.
Confidentiality
The Buckley Amendment insures the confidentiality of these files and the student’s access to information in the file. No information other than directory information may be released to a third party without the student’s written permission. Addresses and phone numbers are considered public directory information and may be released unless the student requests in writing to the Dean of Students Office that such information should not be released.
Photographs
In previous years the University has requested a photo of each student for inclusion in the permanent file. This is no longer a University practice, but we have found that faculty members rely on pictures to refresh their memories (e.g. in writing a letter of recommendation after a student has graduated). If you would like to add a current photo to your file, please leave it with Sharon McDonald with your name penciled on the back.
